EBSN General Assembly and Annual Conference 2025, General Terms and Conditions

Definition

The EBSN General Assembly and Annual Conference 2025, entitled “From Evidence to Action: Advancing Adult Basic Skills for Tackling Inequalities”, will take place from 18 to 20 June 2025 in Brussels, Belgium (hereafter referred to as the EBSN Annual Conference). It is organised by the EBSN Secretariat (hereafter referred to as the Organiser) in cooperation with the Vrije Universiteit Brussel (VUB) and Ligo – Centres for Adult Basic Education in Belgium.

The EBSN Secretariat is responsible for registration and delegation services, sponsorship opportunities, exhibition management, and all other conference logistics.

 

Registration and payment of conference fee

All participants wishing to attend the EBSN Annual Conference must register online. By completing the online registration (by clicking the “SEND” button at the end of the form), a legally binding contract is formed between the Organiser and the Participant.

 

The deadline for registration is 5 June 2025

If the maximum number of participants is reached, the Organiser reserves the right to close registration and refuse further applications.

Upon registration, participants will receive an official confirmation email and an invoice for the conference fee from the EBSN Secretariat. All registration fees must be paid in full in accordance with the details provided on the invoice.

Payment is required in advance of the event and must be made in EUR by bank transfer. All bank charges must be covered by the Participant. Cheques will not be accepted. Registration will only be considered valid once full payment is received. Participation is not guaranteed until the full registration fee has been paid.

 

Cancellation policy

If the conference is cancelled by the Organiser, registration fees will be fully refunded. In such cases, no additional liability shall be assumed by the Organiser.

All cancellations or changes to registration must be submitted in writing by email to secretariat@basicskills.eu and conference@basicskills.eu. If you need to cancel your registration before the conference the following rules will be applied:

Cancellation terms:

  • Until 26 May 2025 – 90% refund via bank transfer.
  • Until 6 June 2025 – 50% refund via bank transfer.
  • After 6 June 2025 – No refund will be provided.

Participants may nominate an alternate delegate from their organisation up to 7 days prior to the conference. No refunds will be issued for no-shows, early departures, or illness.

 

Conference Fee Inclusions

The conference fee for in-person participation includes:

  • Digital conference pack (programme and list of participants),
  • Access to all conference sessions, including the Networking Session on Wednesday morning,
  • Three lunches (Wednesday lunch is provided only for Networking Session participants),
  • Coffee and snack breaks,
  • One conference dinner on 19 June 2025.

The fee does not include other meals, travel costs, or accommodation.

 

Cancellation or Postponement of the Conference

If the EBSN Annual Conference cannot take place or must be postponed due to circumstances beyond the Organiser’s control (force majeure), the Organiser shall not be held liable for any loss or damage. In such cases, the Organiser reserves the right either to retain the registration fee and apply it to a future conference or refund the amount after deducting unrecoverable costs.

The Organiser also reserves the right to modify the conference programme if necessary.

 

Film, Photo and Video Recordings

The EBSN Secretariat aims to create a comprehensive overview of the conference activities, interactions, and events that may be of promotional interest to the network. Accordingly, please note that you may be filmed or photographed at any time during the event (e.g. in plenary sessions, parallel sessions, exhibition areas, etc.), and any presentation you deliver may also be recorded.

By registering for the event, attendees confirm and agree to the publication of such photo and video material on conference-related websites, social media channels, or in printed promotional materials.

 

Insurance

The registration fee does not include insurance. The Organiser assumes no liability for injuries, illnesses, losses, or damages that may occur during the conference or related events. Participants are advised to arrange their own travel and health insurance.

 

Handling Personal Data

The Organiser will process personal data solely for the purpose of managing registration and participation in the conference. Personal data will not be shared or sold to third parties.

Email addresses provided will only be used for conference-related communication.

In accordance with applicable data protection regulations, participants have the right to request access, correction, deletion, or limitation of their personal data, or to object to processing. Such requests can be made by email to secretariat@basicskills.eu and conference@basicskills.eu.
